  • Arrive promptly one hour before the meeting begins.
  • Other members will help you to put out the chairs.
  • Ensure that the Top table* is central.
  • Organize four rows of five chairs on both sides of the room.
  • Make sure they are evenly spaced, ensuring there is an adequate centre aisle.
  • Place Reserved signs on all five chairs of the row nearest to the door.
  • Ensure that there are enough chairs placed at the top table.
  • Before sitting down at the start of the meeting, make sure that all the doors to the meeting room are shut.
  • Sit in the seat reserved nearest to the door. Help latecomers to avoid disrupting the meeting. If you hear the door open during the meeting, silently greet the latecomers and show them to the reserved seats.
  • At the end of the meeting return the Reserved cards to the secretary.
